NOTICE OF ANNUAL GENERAL MEETING 2025

The 2025 Annual General Meeting (AGM) of the members of Whitley Bay Rockcliff Rugby Football Club Limited is to take place as follows:

Date: Saturday, 28 June 2025
Time: 11am (until approximately midday)
Location: The Clubhouse, Whitley Bay Rockcliff RFC, Lovaine Avenue, Whitley Bay, NE25 8RW (please confirm your attendance or give your apologies here)

AGENDA

1. To read the notice convening the Meeting and to receive apologies for absence.

2. To approve the minutes of the AGM held on 22 June 2024.

3. To transact the following items of Ordinary Business:

a) to receive draft accounts, for the period to 31 March 2025;
b) to receive from the Board a report of the activities of the Club since the previous AGM (available here);
c) to appoint Ryecroft Glenton as reporting accountants to the Club; and
d) to announce the election of the President, Chairman, Secretary, Treasurer and the Elected Directors to be appointed (See Note 1 below).

4. To transact the following items of Special Business:

a) to announce the election (as appropriate) of the members of the General Committee who are not directors of the company (See Note 2 below).
b) to approve the membership subscription rates for the forthcoming season

5. Any other business as notified (using the online form here) by 11am on Saturday, 21 June 2025.

NOTE 1:

Nominations are sought for the following Directors’ positions:

  • President
  • Chairman
  • Secretary
  • Treasurer
  • Director of Rugby
  • Director of Safety, Health and Facilities
  • Director of Volunteers

NOTE 2:

Nominations are sought for the following Members of the General Committee who are not directors of the company:

  • County Representative
  • Elected Member
  • Fixtures Secretary
  • Membership Secretary

Those wishing to nominate themselves or another eligible member of the club to one of the positions in Notes 1 or 2 above should register their nomination no later than 11am on Saturday, 21 June 2025 using the nomination form here.

Should there be more than one valid nomination for any position then a vote will take place by a show of hands at the Annual General Meeting 2025. An online proxy voting form (via Google Forms) will be made available to those submitting their apologies for the meeting.

Please note, the following positions are appointed as Members of the General Committee and will be nominated by their respective sub-committees/sections:

  • Chair of Age Grade Rugby (nominated by Age Grade section)
  • Chair of Men’s Rugby (nominated by Men’s Rugby Committee section)
  • Chair of Touch Rugby (nominated by Touch Rugby section)
  • Chair of Women’s Rugby (nominated by Women’s Rugby section)
  • Club Captain (nominated by Joint Rugby Group)
  • Head of Mini Rugby (nominated by Age Grade section)
  • Head of Boys Rugby (nominated by Age Grade section)
  • Head of Girls Rugby (nominated by Age Grade section)
